What personal data we collect and why we collect it

Contact forms

We do not sell your data to any third parties, ever.

If you fill out a contact us form we collect your name and email address so we can respond to your inquiry. We do not collect this data for marketing purposes. The contact us form is not stored on our website for any amount of time but is instead routed to our email provider.

If you fill out a new member application or a renew your membership form we collect your name, address, email address, and phone number in order to administrate the membership and send the occasional email. The form itself is deleted from the website when the membership is processed. Membership data (name, address, email address, and phone number) are kept offline. Some membership data is used so you can access our Member Portal. You can control what data is stored by accessing My Account. However, your name and email address are needed in order for you to use the Member Portal. If you do not wish to use the Member Portal all of your data can be deleted. If you find it difficult to delete your data please email us at info@swedishfinnhistoricalsociety.org and we will delete it for you upon receiving your request.

If you fill out our DEE form we collect all of the data entered into our database. However, this data is not your personal data, except for your name and contact information. Your name and address we will not published in the database online but will retain the information offline in order to contact in regards to database if necessary. We do not use this data for marketing purposes.

If you Subscribe to Our Newsletter we use that data to send your our electronic newsletter via email. The form is not stored on our website.

Occasionally, at our discretion, we use third-party services on our website. These third-party sites have separate and independent privacy policies. We therefore have no responsibility or liability for the content and activities of these linked sites. Nonetheless, we seek to protect the integrity of our site and welcome any feedback about these sites.

If you have a membership and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select Remember Me, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

How long we retain data

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time. Website administrators can also see and edit that information. If you choose to no longer be a member your data is removed from the website. Membership data is kept offline for the administration of the membership and to maintain a historical record. If you wish to be erased from our historical record contact us at info@swedishfinnhistoricalsociety.org and we will erase your data when we receive the request.

What rights you have over your data

If you have a membership on this site you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

Our website is scanned on a regular basis for security holes and known vulnerabilities in order to make your visit to our site as safe as possible.

We use regular Malware Scanning.

Your personal information is contained behind secured networks and is only accessible by a limited number of persons who have special access rights to such systems, and are required to keep the information confidential. In addition, all sensitive/credit information you supply is encrypted via Secure Socket Layer (SSL) technology.

We keep most of our data offline. If a data breach does occur we will notify anyone affected as soon as we know within 72 hours. This notice will come via email unless that method is compromised. If we must use another method we will notify user via mail.
